Greenpeace International (GPI) is looking for a Finance Assistant to ensure the efficient delivery of Greenpeace activities and campaigns through timely and accurate payment and coding of transactions within agreed policies and procedures.

Vital to the smooth running of the International Finance team, you will work in a team, supporting the team members and sharing responsibilities, but having the capacity to perform the full range of tasks. These include ensuring efficient payment processing, handling staff and supplier queries, dealing with accounts receivable, handling treasury management, conducting general ledger maintenance, and supporting the Finance Manager with year-end audits.

In this Finance Assistant role you will:

  • Process supplier invoices, expense claims, credit cards and petty cash requests, ensuring all duly authorised invoices and other payment requests are paid in a timely manner.
  • Maintain and reconcile supplier accounts and review and maintain open purchase orders.
  • Deal promptly and courteously with queries from staff relating to the accounts payable process, including queries on VAT and payment dates.
  • Support staff in their communications with suppliers regarding payments.
  • Provide ad-hoc training in the purchase ordering system (Proactis).
  • Prepare, record and send out all GPI BV invoices on a monthly basis, in order to achieve correct and timely registration – and allocate incoming payments in a timely and accurate way.
  • Ensure payment runs are posted to the general ledger and bank accounts are reconciled.
  • Ensure petty cash is secure and regularly reconciled, advising the Finance Manager of cash levels.
  • Process foreign currency transfers and orders.
  • Ensure necessary journals, e.g. accruals and prepayments, are posted for each month-end close and the general ledger and payments system is complete and accurate (review of accounts payable dashboard).
  • Support the Finance Manager on the timely and accurate delivery of the year-end and interim audits.
  • Work directly with external auditors to provide schedules and to enable testing of transactions and the payment process.
