Job Description: Administrative Assistant – Office of the Director-General, GS-4

Under the overall supervision of the Senior Advisor to the Director-General, the Administrative Assistant will be responsible for the following duties:

  • Provide administrative support for the Office of the Director-General (ODG) including performing a broad range of tasks and assignments such as database management; business travel arrangements and administrative matters related to travel; schedule and organise meetings and assist with follow-up; ensure co-ordination with other relevant units and staff on these matters.
  • The Administrative Assistant will Draft and/or edit responses to a wide variety of correspondence and communications, including letters, notes, and presentations, while maintaining confidentiality of documents.
  • Track incoming communication of the ODG office in order to ensure a prompr answer and the follow up
  • Perform other duties as assigned.

Planning and Organising: Develops clear goals that are consistent with agreed strategies; identifies priority activities and assignments; adjusts priorities as required; allocates appropriate amount of time and resources for completing work; foresees risks and allows for contingencies when planning; monitors and adjusts plans and actions as necessary; uses time efficiently.

Eligibility Criteria for the Administrative Assistant role

This is a local recruitment. Candidates must have valid UAE residence visa and Emirates ID and currently reside within UAE.

 Administrative Assistant Qualifications

Education: High school diploma or equivalent. Post-secondary education/courses in the area of business administration or other related fields would be an asset.

Experience: A Minimum of four years experience in administrative services, office management, or related field. Previous work experience in international institutions, embassies, or other governmental entities is an asset.

Language: Excellent command of written and spoken English is a must. Knowledge of additional languages is an asset. 

Skills: Good knowledge of MS Office with emphasis on Word, Excel and Outlook.
